What is in the template
Meeting date, client, project, attendees, decisions, action item, owner, due date, waiting on, next meeting and notes. The Excel file includes frozen headers, filters and date highlighting on Due Date and Next Meeting through row 201. CSV is the same data without formatting.
Meeting DateWhen the conversation happened.
ClientWho the meeting was with.
ProjectThe engagement or project discussed.
AttendeesWho was in the room. Kept in notes on import.
DecisionsWhat you agreed. Kept in notes on import.
Action ItemOne concrete next action from the meeting.
OwnerWho owns that action.
Due DateWhen the action is due.
Waiting OnA missing file, approval or decision.
Next MeetingThe next scheduled conversation.
NotesContext that would surprise you in a week.
Who it is for
Freelancers, consultants and small teams who take notes in a doc, then lose the action items before they become tasks.
How to use it
1. One row per action item
If a meeting produced three actions, write three rows and repeat the meeting date, client, attendees and decisions. That is what makes the sheet importable later.
2. Write the decision and the verb
Decisions is what you agreed. Action Item is what someone will do. Owner and Due Date turn the note into work.
3. Set the next meeting before you hang up
Put the next date in Next Meeting on every row from that call. An empty next-meeting cell is how the thread dies.
4. Import the action items instead of recopying them
Upload the file. Client, project, action item, owner and due date become tasks under the client. Meeting date becomes last contact. Next meeting becomes the follow-up date. Attendees and decisions stay in notes.
When a spreadsheet starts becoming difficult
- Decisions live in a Google Doc nobody opens before the next call
- Action items get copied into a personal to-do app and lose the client
- Waiting-on items from the meeting disappear until the client asks
- The next meeting was agreed verbally and never landed on a calendar
Turn meeting action items into tasks under the client
ClientPlot keeps the action on the client page instead of in another spreadsheet you have to remember to open.
Keep the conversation next to the work
Notes, files and the next follow-up sit with the project, so the next call starts from the last decision.
Use the sheet for as long as it works
Import when copying action items out of the notes file becomes the weekly chore.
Frequently asked questions
What should client meeting notes include?
The date, who was there, the decisions, each action item with an owner and due date, anything you are waiting on, and the next meeting. A transcript of the whole call is optional and usually unused.
Should I use one row per meeting or per action item?
Use one row per action item and repeat the meeting details. A single notes cell with three verbs is hard to sort, filter or import.
Can I use this in Google Docs instead?
You can copy the columns into a doc. The download is Excel and CSV so the same rows import into ClientPlot later.
Does ClientPlot transcribe meetings?
No. It stores the action items, dates and notes you write down. You still run the meeting.
