Freelance Client Tracker Template

A client tracker for people who bill hours and send invoices themselves. Track the client, the current project, hours this month, whether an invoice is out, the due date and the next follow-up.

Free download. No signup required.

No signup required. Excel includes the extra formatting. CSV is portable data only.

Outgrown the freelance spreadsheet?

Keep the spreadsheet if the hours column still works. Import the clients and projects into ClientPlot when follow-ups start slipping.

Free to preview. No credit card. Create an account only when you want to save your dashboard.

  1. Spreadsheet rowsClient records
  2. Project columnProjects under that client
  3. Deadline columnDue dates on the work
  4. Next action / next taskTrackable tasks
  5. Client notesNotes on the client page

Official ClientPlot templates skip the mapping quiz. ClientPlot counts what it found, then you import. Unusual spreadsheets still get a mapping review.

Freelance spreadsheet

  • Hours and invoices in the same row as the client
  • Easy to miss a follow-up
  • One row per client

ClientPlot

  • Clients and projects linked
  • Follow-ups on Today
  • Hours preserved in notes

What is in the template

Client Name, Company, Email, Phone, Status, Project, Hours This Month, Invoice Status, Due Date, Next Follow-Up and Notes. Hours and invoice status stay in the sheet. On import, ClientPlot keeps them in notes so you do not lose them.

Client Name

Who hired you.

Company

Business name if it differs from the client.

Email

Primary contact email.

Phone

Best number for a quick call.

Status

Lead, Active, On Hold, Completed, or Inactive.

Project

The current piece of named work.

Hours This Month

Hours logged this month. Stays in the sheet; ClientPlot keeps it in notes on import.

None, Sent, Unpaid, or Paid. Kept in notes on import.

Due Date

When the current project is due.

Next Follow-Up

The next date you should reach out.

Notes

Scope, rate, and anything that would surprise you later.

Who it is for

Freelancers who still run the business from a spreadsheet and need hours and invoice status next to the client, not in a separate billing tool they will not open.

How to use it

  1. 1. Update hours when you invoice, not every day

A monthly number you will maintain beats a timesheet you abandon.

  2. 2. Invoice Status is Sent, Unpaid, Paid or None

Unpaid plus a follow-up date is how quiet invoices get a call.

  3. 3. Keep the current project on the row

When a new project starts, change the Project cell. History can live in notes.

  4. 4. Import when hours-in-Excel is the job

Upload the file. Client, project, due date and follow-up map into ClientPlot. Hours and invoice status land in notes.

When a spreadsheet starts becoming difficult

  • Hours in one sheet, clients in another
  • Unpaid invoices with no follow-up date
  • A CRM that wants a pipeline you do not have

Hours stay in the spreadsheet until you outgrow it

ClientPlot does not pretend to be invoicing software. It keeps the client, project and follow-up.

The same file is the next step

Import when the list is noisy. You already have the names.

Frequently asked questions

Does this send invoices?

Will ClientPlot import hours?

Hours and invoice status are kept in notes on import. Client, project, due date and follow-up become records you can work from.

Is there a signup wall?

No. Download Excel or CSV with no account.
