What is in the template

Client ID, Client Name, Company, Contact Name, Email, Phone, Status, Service / Project, Project Status, Start Date, Due Date, Last Contact, Next Follow-Up, Priority, Project Value, Source and Notes. Sample rows plus empty rows ready for your names.

Client ID

A short unique id so you can talk about a row without using the name.

Client Name

The person or account you work with. Required if you later import this file.

Company

The business name if it is different from the client.

Contact Name

Who you actually talk to, if that is not the client name.

Email

Primary contact email.

Phone

Best number for a quick call.

Status

Lead, Active, On Hold, Completed, or Inactive.

Service / Project

The current piece of named work under this client.

Project Status

Not Started, In Progress, Waiting, or Completed.

Start Date

When this work began.

Due Date

When the current project or deliverable is due.

Last Contact

Date of the last real conversation.

Next Follow-Up

The next date you should reach out.

Priority

Low, Normal, High, or Urgent.

Project Value

Optional fee, retainer, or job value.

Who it is for

People who searched for an Excel client tracker because Excel is already open. Freelancers, consultants and small offices who want a real workbook, not a screenshot.

How to use it

  1. 1. Download the XLSX

    Use the button above. Open it in Microsoft Excel. The header row is frozen and every column has a filter arrow.

  2. 2. Use the status dropdowns

    Status is Lead, Active, On Hold, Completed or Inactive. Project Status is Not Started, In Progress, Waiting or Completed. Priority and Source are lists too.

  3. 3. Track follow-ups and deadlines

    Put dates in Next Follow-Up and Due Date. Those cells turn red when they are past today and the client or project is still open.

  4. 4. Filter active clients

    Open the Status filter and keep Active. Leave Completed and Inactive rows in the sheet so you still have history.

  5. 5. Import the same file later

    When Excel maintenance is the job, upload this workbook in ClientPlot and confirm the suggested column mapping.

When a spreadsheet starts becoming difficult

Columns that map cleanly

Client Name, Project, Deadline and Next Follow-Up are names ClientPlot already recognizes, so you are not rebuilding the sheet to switch.

Is this client tracker really free?

Yes. The Excel download does not require an account or an email address.

Does it work in Microsoft Excel?

Yes. It is a .xlsx workbook with a table, frozen headers, filters, dropdowns and conditional formatting. No macros.

Can I use it with Google Sheets?

You can open it in Google Sheets. Dropdowns and highlighting are most reliable in Excel. A CSV is on the main template page if you want a simpler import into Sheets.

Can I add more columns?

Yes. Insert columns in the table as you would in any Excel file.

How do I track client follow-ups in Excel?

Fill Next Follow-Up, then sort or filter that column. Overdue dates highlight when the client is not Inactive or Completed.

How do I track active and inactive clients?

Use the Status dropdown and filter to Active. Keep inactive rows for history.

How does conditional formatting work?

Next Follow-Up turns red when the date is before today and the client is still open. Due Date turns red when the date is before today and Project Status is not Completed.

Can I import it into ClientPlot?

Yes. Upload the .xlsx, confirm Client Name, Status, Service / Project, Due Date and Next Follow-Up, then save. Your original file stays on your computer.
