What is a client tracker?

A client tracker is a simple system for keeping client contact information, projects, tasks, deadlines, follow-ups, and notes organized in one place. Many people start that list in Excel. Read how to track clients in Excel if you want the spreadsheet layout first. That works until the sheet has too many tabs, too many columns, or too many people editing it.

ClientPlot is the client tracker you graduate to at that point. Import the tracker you already use. Keep clients, projects and tasks together. If the work is a pile of verbs, start with the client task tracker so you can track tasks for multiple clients, then import the same file.

Answers to common client tracking questions

Who is a client tracker for?

Freelancers, consultants, and small service businesses that already keep a client list in Excel or Google Sheets. It is for people who need the work organized, not a sales pipeline or marketing suite.

How do freelancers track multiple clients?

Keep one list with a current project, next task, due date, last contact, and next follow-up. ClientPlot connects those records so the list becomes a workday instead of another tab to maintain. The multiple-client guide walks through the same habit in a spreadsheet first.

How do I track client projects and tasks together?

Give each project a name under the client, then put tasks on that project with a due date. A project tracker is the spreadsheet version of that list. In ClientPlot the project sits on the client page and the tasks show up on Today.

How do I track client follow-ups?

Set a next follow-up date when you send a quote or close a project. When that date arrives, it appears on Today next to the tasks that need you. ClientPlot does not send reminder emails. You still make the call or send the message.

When should I move from Excel to a client tracker?

Move when the sheet spreads across tabs, several people edit it, or you cannot tell what is due today. Start with how to track clients in Excel, or check the file you already have, then import the same data.

Can you import a client tracker from Excel or CSV?

Yes. Upload an Excel or CSV file, review the suggested column mapping, and confirm the preview before anything is saved. ClientPlot keeps unsupported details in notes so the import stays reviewable.

What should you track for each client?

A good client tracker commonly contains contact information, status, the current project or service, start date, due date, last contact, next follow-up, priority, value, source and notes. You do not need every field on day one. You do need a next date and a next piece of work.

What you can track in ClientPlot

The product is built around client work, not around boards you have to configure.

Clients

Each client gets a record with name, contact details, status, notes and a next follow-up date. Open the page and see the relationship in one place instead of scanning a row.

Projects

Named work hangs off the client it belongs to. A retainer and a fixed-scope project can run side by side, each with its own status and due date.

Tasks

Tasks have due dates and live under the client, and optionally under a project. They are the verbs: send, review, nudge, deliver.

Deadlines

Due dates sit on projects and tasks. Overdue and due-today work shows up on the dashboard the moment you log in.

Status

Give each client and each project a status you actually use, then filter the workspace instead of coloring cells.

Notes and follow-ups

Keep notes on the client. Set a follow-up date when you send a quote or close a project. When that date arrives, it appears on Today next to the tasks that need you.

Your spreadsheet works, until you have too much to track

Excel and Google Sheets are great places to start. ClientPlot becomes useful when client information, projects, deadlines and tasks start spreading across tabs and files.

Spreadsheet

Easy starting point. One row per client, filters, and a next date.

  • Client rows you maintain by hand
  • Projects and tasks stuffed into cells
  • Manual filtering to find today

ClientPlot

Active client work organized in one place.

  • Clients, projects, tasks, deadlines, follow-ups
  • Import the spreadsheet you already use
  • Today view instead of a filter ritual

Full CRM

Larger sales and marketing workflow.

  • Pipelines, campaigns, lead scoring
  • Often invoicing, proposals, automation
  • More setup than most client lists need

A client tracker focuses on active client work. A CRM typically includes broader sales pipeline, marketing, and automation features. ClientPlot does not do invoicing, proposals, or marketing automation.

Import your existing Excel or CSV tracker

Keep your existing client data. Lose the spreadsheet maintenance. Upload the file, map your columns, and start tracking in ClientPlot.

  1. Step 1

    Upload spreadsheet

Import the Excel or CSV client tracker you already use. Parsing happens in your browser.

  2. Step 2

    See what ClientPlot found

Official templates skip the mapping quiz. ClientPlot tells you how many clients, projects and follow-ups it found, then you import.

  3. Step 3

    Start tracking

Rows become client records with projects, tasks, and follow-up dates on a dashboard you can work from.

Frequently asked questions

What is a client tracker?

A client tracker is a simple system for keeping client contact information, projects, tasks, deadlines, follow-ups, and notes organized in one place. ClientPlot is the workspace you graduate to when the spreadsheet gets hard to maintain.

What information should I track for each client?

At minimum: who they are, how to reach them, current status, open projects, due dates, last contact, the next follow-up, priority, value if you track it, source, and a short note from the last conversation.

Can I import a client tracker from Excel?

Yes. Upload an Excel or CSV file, review the suggested mapping for columns such as Client Name, Project, Deadline and Next Follow-Up, then confirm before anything is saved.

Can I turn my client tracking spreadsheet into a live workspace?

Yes. Import the Excel or CSV file you already use and ClientPlot turns the rows into connected clients, projects, tasks, deadlines, and follow-ups. You can keep the spreadsheet as your backup while managing day-to-day client work in one live workspace.

Can ClientPlot replace my client tracking spreadsheet?

For most people, yes, once the sheet is messy. Excel is a good starting point. ClientPlot is the next step when you want clients, projects and tasks together without rebuilding everything in a large CRM.

Can I track projects for each client?

Yes. Each client can have projects, and each project can have tasks with due dates. Opening a client shows the work that belongs to them.

Is ClientPlot a CRM?

No. It is a client tracker and workspace. It does not do sales pipelines, mass email, proposals or invoicing. It tracks the client work you already keep in a spreadsheet.

Can freelancers use ClientPlot?

Yes. The Free plan covers one user, one workspace, up to 100 clients, unlimited projects and tasks, dashboard, calendar, and one spreadsheet import of up to 100 rows. You don't need a card to start. Paid plans add unlimited imports and team features.

Can I use ClientPlot for free?

Yes. The Free plan covers one user, one workspace, up to 100 clients, unlimited projects and tasks, dashboard, calendar, and one spreadsheet import of up to 100 rows. You don't need a card to start.

Does ClientPlot send email reminders?

No. ClientPlot does not email you when a follow-up comes due. Set a follow-up date and it appears on the Today view when it is due. You still send the email or make the call.

Does ClientPlot have a client portal?

No. ClientPlot is a workspace for you, and for teammates on a Team plan. It is not a client-facing portal or status-page product.
