How to keep track of clients as a freelancer
Most freelancers do not need a CRM. They need to remember who is waiting, what is due, and who went quiet. This is a working system, starting with a spreadsheet you can download today.
Free download. No signup required.
1. Keep one list, not a folder of docs
A client named in email, invoices and a notes app is three lists. Pick one sheet. Client Name, Status, current Project, Due Date, Next Follow-Up. Start with the client tracker Excel template.
2. Write the next date before you close the laptop
The follow-up after a proposal is the work. If Next Follow-Up is empty, that client is paused whether you meant it or not.
3. Track the current project, not every idea
One named project per row is enough. Extra ideas go in notes. When a second project is actually live, give it its own row or move to a projects tab.
4. Keep billing in your billing tool
Use the client tracker for the next action, such as checking that a client received an invoice. Keep hours, rates, invoices and payment records in your time-tracking or billing tool. ClientPlot does not generate invoices or sync payments from Stripe or QuickBooks.
5. Review Fridays, not in your head at 11pm
Sort by Next Follow-Up. Close finished work. Set dates for anyone who went quiet. Ten minutes beats reconstructing the week from sent mail. See the longer guide to managing multiple clients.
When the freelance spreadsheet starts slipping
Around 15 to 20 active clients, follow-ups get missed and a full CRM feels like too much. If you have outgrown the spreadsheet, ClientPlot keeps the same clients, projects and deadlines without the CRM ceremony.
Download the Freelance client tracker template. When the spreadsheet becomes difficult to maintain, import it into ClientPlot.
Frequently asked questions
Do I need a CRM as a freelancer?
Usually no. You need a client list, a next date, and a place for the current project. Pipelines and lead scores are extra weight.
What should I track besides names?
Status, the current project, a due date, last contact, next follow-up, and a short note about what you promised.
Can I start in Excel and move later?
Yes. Download the freelance tracker, use it, then import the same file when the sheet gets noisy.
