Free Work Order Tracker Template

Work orders are jobs with a number, a customer, a technician, and a scheduled time. This template is a simple work order log for shops and field teams that still dispatch from a spreadsheet.

Excel and CSV included. For Google Sheets, download CSV and use File > Import, or click Open Google Sheets and upload the file.

What is in the template

Work order number, customer, job/service, status, scheduled date, technician, waiting-on, and notes. Sample rows include emergency, scheduled, and waiting-on-parts work.

Work Order

The ticket or WO number.

Customer

Who the work is for.

Job

Service being performed.

Status

Open, scheduled, waiting, complete.

Scheduled Date

When the technician is on site.

Assigned To

Technician or crew.

Waiting On

Parts, access, approval.

Notes

Location, codes, symptoms.

Who it is for

Service businesses that issue work orders and need to see what is open today without a field-service platform.

How to use it

  1. 1. Give every row a work order number

Even if it is just 2026-014. Numbers make callbacks and invoices match later.

  2. 2. Scheduled date is when you show up

Due date, if you add one in notes, can be when the customer needed it done.

  3. 3. Close or cancel rows. Do not delete history

A finished work order is still useful when they call in three months.

When a spreadsheet starts becoming difficult

  • Dispatch is a group text
  • Technicians do not see site notes until they arrive
  • Waiting-on-parts orders vanish until the customer yells
  • You cannot answer 'where is my guy' from one screen

Work orders as jobs under a customer

ClientPlot keeps the customer record and the work order as a job, with notes that travel to the phone.

Schedule on a calendar

Scheduled dates show up in calendar and today views instead of a buried column.

Assignment you can see

Technician names become assignments you can scan, not cell colors.

Frequently asked questions

Is this a full work-order system?

No. It is a tracker. It does not print parts lists or take payments. It keeps the queue visible.

How does a work order map in ClientPlot?

Customer becomes the client. Job becomes the job/project. Work Order number goes into notes so you do not lose the ticket id. Scheduled Date maps to due date.

Can technicians update this from a phone?

The spreadsheet depends on how you share it. In ClientPlot, team members can update assigned work from a browser on their phone.
