Free Task Tracker Template

A task tracker is a dated to-do list with a client on every row. This template is for people whose work is a pile of small commitments, not one giant project plan, and who still keep that pile in a spreadsheet.

Excel and CSV included. For Google Sheets, download CSV and use File > Import, or click Open Google Sheets and upload the file.

Example

Sample rows so you can see how the tracker is meant to be used.

What is in the template

Task title, client, status, due date, assigned to, and notes. Sample tasks mix overdue, due today, and later this week so the sheet feels like a real Monday.

Task

The action to take.

Client

Who the task belongs to.

Status

Not started, in progress, waiting, done.

Due Date

When it should be finished.

Assigned To

Who is doing it.

Waiting On

Blocker, if any.

Notes

Links, context, constraints.

Who it is for

Freelancers, VAs, and small teams who think in tasks due Tuesday, not in epics and sprints.

How to use it

  1. 1. Write the task as a verb

Send Q3 proposal is better than Proposal. Future-you will thank present-you.

  2. 2. Every task needs a client

Internal admin can live under a client named Admin. Orphan tasks are how work gets lost.

  3. 3. Due dates are required for anything that can slip

If it has no date, it is a wish. Put a date even if you later move it.

When a spreadsheet starts becoming difficult

  • Personal to-do apps have no client context
  • Spreadsheet tabs per client hide the real week
  • Completed work and open work share a blurry list
  • You cannot see who is on which task

Today view across every client

ClientPlot pulls due and overdue tasks into one morning list, grouped by client.

Tasks stay on the client page

Open the client and see the work, notes, and files without a VLOOKUP.

Done is a status, not a strikethrough you might undo

Completed tasks stay in history so you can show what shipped.

Frequently asked questions

Why not just use a to-do app?

Most to-do apps are personal. This tracker keeps the client on the row, which is what you need when the work is for someone else.

Can I import this into ClientPlot?

Yes. Map Task to the task, Client to the client, Due Date to the due date, and Assigned To if you use it. ClientPlot will create missing clients as it goes.

How do I handle recurring tasks?

In the sheet, copy the row and change the date. In ClientPlot, set weekly, biweekly, or monthly recurrence on the task.
